General logic for Broker integration – orders flow

In the fast-evolving world of car rental software, seamless Broker integration and OTA integration are critical for scaling distribution and increasing bookings. Platforms like Rentalcars.com from Booking.com , Localrent etc. generate significant booking volume – but without structured order flow logic, operational risks increase.

Today, we’re announcing a major update to the Broker × Rentsyst ecosystem that optimizes general broker order processing, improves confirmation workflows, and strengthens automation across integrations.

Why Broker & OTA integration matters in car rental software

Modern car rental companies depend on multi-channel distribution:

  • Direct website bookings
  • OTA integration (e.g. Rentalcars.com)
  • Broker platforms such as Wayrent
  • Agent sales channels

However, broker-originated orders behave differently from direct reservations. Without correct status logic and validation triggers, companies risk:

  • Unconfirmed reservations and cancellations
  • Overbookings
  • Operational delays
  • Poor customer experience

This release introduces a standardized Broker order flow logic designed specifically for rental marketplaces.

 

1. Wayrent Partner registration via Rentsyst admin

To ensure structured onboarding:

  • New Wayrent partners can now register only via request from the Rentsyst Admin panel.
  • Path: Integrations → Agents
  • Verification is available only on active subscription

This strengthens the technical foundation for scalable broker integration in car rental software.

 

2. Default order status for all Broker integrations

The problem

Previously, broker orders entered Rentsyst with status: Reserved

For most car rental companies, “Reserved” means confirmed booking.
But for broker-originated orders — this is NOT always true.

The solution

All incoming broker orders now enter the system as: Booked (instead of Reserved)

Benefits:

  • 🔔 Automatically highlights orders requiring attentions & confirmation
  • 📩 Triggers confirmation/rejection notifications
  • ⚙ Integrates with standard Rentsyst alert system
  • 🛡 Reduces risk of false confirmations

This creates a clear separation between direct reservations and broker channel orders.

 

3. Reaction timer automation for rental companies

Speed of confirmation is critical in Broker integration. The new automated response timer ensures professional SLA control.

Email flow automation:

1️⃣ Immediate email

  • Sent when client confirms booking on Broker platform
  • Rental company received new order notification

2️⃣ +2 hours reminder

  • If order not accepted → Rentsyst Admin receives reminder email
  • Accepted order – means reservation status should be moved from Booked to Reserved.

3️⃣ +24 hours reminder

If order still not confirmed (not moved to Reserved):

  • Automatic warning email
  • Final reminder before timeout

4️⃣ +25 hours automatic rejection

  • If no confirmation → Order automatically moves to Rejected
  • Admin & Client receive notification (if alerts enabled)
  • Refunds should be initiated manually in that case

This mirrors existing draft auto-deletion logic and ensures consistent SLA control.

Result:

  • Faster confirmation cycles
  • Transparent communication
  • Reduced manual follow-up
  • Improved Broker partner reliability

 

4. New “Broker” filter in reservations

To improve channel management:
A new filter “Broker”has been added in the Reservations section.

📍 Positioned near the “Agents” filter (as part of extended channel management).

The filter includes all connected broker integrations. This enables rental companies to:

  • Track broker performance
  • Analyze OTA sales
  • Separate direct vs broker revenue

5. Broker mini-logo in View / Edit / Check-in modes

Previously, broker mini-logos were visible only in reservation preview lists. Now they are displayed in:

  • View mode
  • Edit mode
  • Check-in mode

This improves operational clarity for front-desk teams and reduces mistakes during vehicle handover.
